Should I backup Office 365?

As Partners and Resellers to Microsoft, we are often asked "why bother backing up Microsoft 365 products?  It's all cloud based afterall - right?"   Read on to make a more informed decision about whether or not you should invest in backing up your valuable cloud content.

Why should I backup my 365 cloud products?


Although Microsoft do offer native tools and retention policies for the recovery of lost data, these are more for compliance than for backup. 

Below are the reasons why we recommend using a third party backup solution to protect your valuable data:


  • Data Loss Prevention
    While Office 365 provides some level of redundancy and protection, it doesn't protect against all types of data loss, such as accidental deletions, user errors, or malicious attacks like ransomware.


  • Retention Policy Gaps 
    Office 365 retention policies are complex and may not cover all scenarios. Having a backup ensures you can restore data even if it falls outside of Microsoft's retention policies.


  • Legal and Compliance Requirements
    Some industries have strict compliance and legal requirements for data retention and recovery. Having an independent backup can help meet these requirements.


  • Restoration Flexibility
    Backups can provide more granular restoration options. If a specific file or email is deleted, a backup can often restore it more quickly and easily than relying on Office 365's built-in tools.


  • Protection Against Internal Threats
    In addition to external threats, internal threats like malicious employees can also cause data loss. Independent backups can protect against these scenarios.


Conclusion

While Office 365 provides some built-in data protection features, they may not cover all scenarios or meet all organizational requirements. Implementing a comprehensive backup strategy ensures data availability, compliance, and resilience against a variety of threats and errors.
