Cyber Crime is on the rise, and online accounts such as Microsoft Office 365 are a magnet for criminals. Malicious attacks and data breaches against governments, companies and individuals are becoming increasingly common. Spam and spoof mail are one of the primary sources of phishing scams which are designed to fool users into entering their passwords under false pretenses.
 
To help improve security, Two Factor Authentication is recommended on all business-critical Office 365 Accounts.

What is 2FA?
Two Factor Authentication (2FA) is a solution that strengthens access security by requiring two methods to verify your identity (for example, your password PLUS a one-time-security code sent to your mobile device on demand). Utilising 2FA will ensure that internet-based systems (such as Office 365 emails, One Drive and Sharepoint) are protected against security breaches.
 
How does it work?

2FA works by prompting each user to provide proof of identity.  Only the mobile number that has been pre-configured for that user will receive the security one-time passcode needed to access the account (example below):

How easy is it to use?
It is incredibly easy to use.  When a user logs into an Office 365 application on their computer (such as Outlook), a message similar to the image above will appear.  The user simply clicks "text" and a code will be sent to their mobile number.  This code is then entered into their computer - permitting the user to gain access to the system.

What if I leave the company?
If a 2FA-enabled employee leaves the company, please notify us as soon as possible so that the users account and 2FA can be redirected and/or disabled.
 
Will 2FA be a nuisance?
You will not be forced to authenticate on your regular devices every time you log in. 2FA will only be triggered when you access your account for the first time on your existing device, on any new device, or from a different web browser. 
 
 
What if I lose my mobile?
If a user loses their mobile phone, please contact you systems administrator to arrange an alternative method of authentication.
